Personal Assistant to People Directors x 3   

 

About the Role 

 

We are seeking three highly organised and professional Personal Assistants to provide exceptional administrative and secretarial support to our People Directors within the People & HR department. This pivotal role involves managing complex diaries, organising high-level meetings, drafting confidential correspondence, and supporting a range of key projects. 

 

As the first point of contact for the People Directors, you will engage regularly with senior stakeholders including members of the Court of Common Council and the Senior Leadership Team, requiring tact, discretion, and excellent communication skills. Your role will be crucial in ensuring smooth operations within the department and supporting sensitive HR processes. 

 

Key Responsibilities 

 

  • Manage the People Directors’ diaries and schedules with precision, coordinating meetings and briefings at a senior officer level. 

  • Act as the primary contact for internal and external stakeholders, handling enquiries and correspondence confidentially and efficiently. 

  • Draft, proofread, and produce high-quality reports, presentations, committee papers, and other documents adhering to corporate standards. 

  • Provide project support including planning, organisation, and monitoring to ensure timely delivery within scope and budget. 

  • Maintain and improve electronic filing systems and SharePoint sites in line with GDPR and corporate policies. 

  • Support HR-related administrative duties, including processing sickness, annual leave, and pay issues for direct reports. 

  • Arrange travel, venues, catering, and other logistical support for meetings and events, some outside regular office hours. 

  • Support the People Directors on sensitive staffing matters and liaise with managers throughout HR processes. 

 

What We’re Looking For 

 

  • Proven experience supporting senior managers, preferably up to Chief Officer level, with complex diary management and meeting organisation. 

  • Excellent verbal and written communication skills with experience drafting correspondence and reports for senior stakeholders. 

  • Strong organisational and project management skills with the ability to manage multiple priorities and deadlines. 

  • High proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and willingness to maintain up-to-date skills. 

  • Discretion and ability to handle confidential and sensitive information with professionalism. 

  • A proactive, flexible approach and ability to work independently and as part of a team. 

  • Educated to at least NVQ Level 3 or equivalent (e.g., A-levels).
