The City of London Corporation is seeking a highly organised, diplomatic and proactive Diary Officer (1 year maternity cover) to join the Mansion House Secretariat. In this pivotal role, you will ensure the Lady Mayor and the Mayoral Consort are able to focus their time effectively on advancing the Corporation’s strategic priorities and representing the City on national and international stages.
About the Role
As Diary Officer, you will be at the centre of the City Corporation’s civic operations. You will manage the complex and high-profile diaries of the Lady Mayor and the Mayoral Consort, working closely with the Mansion House Diary Manager, the Shrieval Office at the Old Bailey, and senior colleagues across the organisation.
This is a role for someone who thrives in a fast-paced and dynamic environment, who can confidently advise on priorities, build productive relationships at senior levels, and act as a trusted first point of contact for high-profile stakeholders.
You will provide forward planning, strategic diary advice, briefing support, research, and horizon scanning to ensure both Principals are fully prepared and able to deliver their duties smoothly and effectively.
Key Responsibilities

Deliver efficient, accurate and forward-thinking diary management for the Lady Mayor and the Mayoral Consort.

Provide direct advice on prioritisation and balance of time, based on a strong understanding of civic roles, duties and strategic issues.

Act as first point of contact for internal and external stakeholders, representing the Principals with professionalism and discretion.

Prepare meeting papers, briefings and correspondence; attend meetings where required and ensure timely follow-up.

Undertake research and diary policy development on key priorities, preparing recommendations for senior consideration.

Maintain high-quality records, systems and file management across the Secretariat, including through SharePoint.

Work collaboratively across the Mansion House and with the Old Bailey to ensure seamless alignment of diaries.

Support wider Secretariat activity as needed, contributing to a cohesive and high-performing team.

Champion the City Corporation’s commitments to health and safety, equality and inclusion.
About You
You will bring professionalism, composure and exceptional organisational skill to every aspect of your work. You will be someone who anticipates problems before they arise, quickly grasps complex issues and is able to make sound judgments under pressure.
Essential experience and qualities include:

At least 3 years’ experience as a Diary Officer, Executive Assistant, or senior administrative professional, ideally in government, public sector or a high-profile environment.

Experience working with senior leaders, public figures or dignitaries.

Strong track record in managing complex diaries and competing priorities.

Excellent written and verbal communication skills, with the confidence to represent senior civic figures.

Keen attention to detail and a proactive, solutions-focused mindset.

Ability to build strong, respectful relationships with senior stakeholders.

High level of discretion and professionalism when handling sensitive information.

Strong IT proficiency, including MS Office and collaboration platforms.

Willingness to work flexibly and occasionally outside normal hours.
