We are seeking to appoint a Support Services Assistant to complement our administrative team that supports Epping Forest. Do you enjoy working in an office environment? About Us
The City of London Corporation manages 11,000 acres (approximately 4,500 hectares) of land in and around London that is enjoyed by over 16 million visitors annually.
Epping Forest is one of very few large, ancient forests in this part of Britain and the largest open space in London at just over 6,000 acres. The Forest has lots of rare and important habitats with each of these habitats being home to different trees, wildlife and fungi, which together make up a rich mosaic of nature. The Forest has around 10 million visitors per year.
The Forest is home to 55,000 ancient trees, more than any other single site in the country. Stretching from Manor Park in east London to just north of Epping in Essex, much of the Forest is of national and international conservation importance with two-thirds of it being designated as a Site of Special Scientific Interest (SSSI) and a Special Area of Conservation (SAC).
The role
As part of the Epping Forest Administration Team, you will be working in collaboration with the Assistant Director, Epping Forest, with responsibility for performing a variety of administrative and clerical tasks to help ensure the smooth running of the division.
Duties include (but are not limited to):

Act as first point of contact for the office, answer and direct phone calls and visitors to reception.

Respond to enquiries and monitor the sites' inboxes.

Diary co-ordination

Collating information for reports, benchmarking, and Committee papers

Plan meetings, book and set up meeting rooms support the collation and distribution of supporting documents, and assist with meeting records.

Write and distribute email, correspondence, memos, letters, and forms.

Maintain filing systems, including archives, electronic databases and our CRM

Maintain and update contact lists

Provide general support to visitors, contractors, stakeholders, and volunteers including secure management of keys and other access details

Monitor and order office supplies

Liaise with executive and senior administrative officers to handle requests and queries from senior managers
The ideal candidate
You will have proven experience in an office environment, administration, or similar role, with experience at dealing with members of the public both on the telephone and at reception. You will be professional, discrete, and trustworthy. You will have a working knowledge of office equipment (scanning, printing, copying, laminating). You will be proficient in MS Office (Excel, Word, PowerPoint and Publisher in particular). You will have excellent time management skills and ability to prioritise own workload to meet deadlines. You will have strong organisational skills and ability to multi-task. You will have good problem-solving skills, pay attention to detail, and have excellent written and verbal communication skills. You have a ‘can-do’ and professional approach to work. You contribute to and encourage a positive office environment.
