Contractual Hours: 35 hours per week

We are looking for a highly organised and proactive Private Office Coordinator to support incoming Lord and Lady Mayors as they prepare for their year in office. This is a unique opportunity to work at the heart of the City of London’s civic, ceremonial, and international engagement. This role places you at the centre of the Mayoralty’s work as the UK’s Ambassador for Financial and Professional Services, offering a rare opportunity to engage directly with senior figures from global business, UK government, international governments, and a wide range of influential stakeholders.  

  

The Role  

 

In this role, you will coordinate key preparation activities for future Mayors, including scheduling meetings, tracking actions, maintaining programmes, preparing agendas, and taking minutes. You will support the Mayoral Advisory Board, develop and collate briefing materials, liaise with senior internal and external stakeholders, and assist with planning thematic events aligned with Mayoral and organisational priorities. You will also help manage correspondence, keep well organised records, and support major civic occasions, including high-profile events at Mansion House. The role requires maintaining structured systems to monitor high volume inboxes, record activity and coordinate scheduling, enabling the wider team to access accurate, up to date information quickly and confidently.  

  

About You  

 

You will have strong experience in complex administration, diary management, scheduling and planning, along with confident communication skills. You can prioritise effectively, manage multiple tasks, work with senior stakeholders, and demonstrate sound judgement and discretion. You will have strong written skills, research capability, attention to detail and a proactive, customer focused approach are essential. Flexibility for occasional early mornings, evenings and weekends is required.
